An estimate is the calculated probable cost of a project, and the type you prepare depends directly on how much detail is actually available and how accurate the final number genuinely needs to be — ranging from a quick per-square-foot figure for a go/no-go decision to a full, item-by-item bill accurate enough to build a tender on. Choosing the wrong type for the situation — a rough figure where an accurate one is needed, or an expensive detailed estimate where a rough one would do — is a genuine and common mistake. Approximate estimates (early stage)
Made before the drawings are finalised, for feasibility and budgeting decisions where a rough figure is genuinely adequate:
- Plinth area estimate — the built-up (plinth) area × a plinth-area rate (₹/sq ft). This is the common quick method for budgeting a house; see the home construction cost calculator.
- Cube rate estimate — the built volume × a rate per cubic metre, occasionally used where building height varies enough to matter.
- Unit-base estimate — cost per unit of use (per bed for a hospital, per seat for an auditorium), useful for institutional projects at the concept stage.
These are fast to prepare but genuinely rough — perfectly good for a feasibility or go/no-go decision, but nowhere near accurate enough to tender or contract against.
Detailed estimates (before construction)
Made from the finished drawings, worked out item by item, where accuracy genuinely matters:
- Detailed (item-rate) estimate — every individual item of work is measured as a quantity and multiplied by its rate (from rate analysis), then all items are summed. This is the accurate, tender-ready estimate.
- Quantity estimate / bill of quantities (BOQ) — the full schedule of all quantities of work and materials, the backbone document a tender is priced against (BOQ).
- Abstract estimate — the summary sheet that totals all the detailed items up into the final project cost.
Estimates during and after the work
- Revised estimate — a fresh detailed estimate prepared when the actual cost is overrunning the original, or when the scope of work has changed materially.
- Supplementary estimate — prepared for additional work added to the original scope, over and above what was first estimated.
- Annual maintenance / repair estimate — the projected yearly upkeep cost of the completed building.
Why the accuracy required drives which type you prepare
A relative comparison of typical accuracy — the right choice matches the accuracy needed to the stage of the project, not simply the most accurate available.
The genuine skill in estimating isn't always reaching for the most accurate method — it's matching the estimate type to what the moment actually requires. At the feasibility stage, before drawings even exist, a detailed item-rate estimate is impossible to prepare and unnecessary, so an approximate plinth-area figure is exactly right. At the tendering stage, a rough approximate figure is dangerously inadequate, so a full detailed estimate with a BOQ becomes essential. Using an approximate estimate to actually contract against, or spending the effort on a detailed estimate purely to make a preliminary go/no-go call, are both real mistakes that come from mismatching the estimate type to the decision it's meant to support.
